Will it get it wrong?
It can make mistakes. That's why you get a draft summary to review first. You can correct any errors by replying with changes, and nothing is finalized without YES.
Can I edit before sending?
Yes. When you get the draft summary, reply with any changes you need (customer name, prices, line items, etc.). VanVox will apply your edits and show you an updated draft. Nothing is finalized without YES.
Do I need to install anything?
No app install needed. It works entirely in WhatsApp. On desktop, scan the QR code to open the chat in WhatsApp Web.
What about VAT?
VanVox supports both VAT-registered and non-VAT businesses. If you're VAT registered, the draft will include VAT breakdown and your VAT number. If not, it creates a non-VAT invoice. You review before confirming either way.
Is my data safe?
Privacy-first design. We don't log raw transcripts of your voice notes. We process the audio to extract job details, create your draft, then discard the transcript. Only the structured document data (customer, items, totals) is kept for your records.
What do customers receive?
A professional PDF quote or invoice with your business details, customer info, line items, and totals. You can send it directly from WhatsApp after you confirm. Optionally, you can include a payment link if you've set up payment details in the dashboard.
Will anything be sent without my approval?
No. Nothing is finalized without YES. You review the draft, make any edits, and only when you reply YES does VanVox generate and send the PDF.
What is VanVox?
VanVox turns WhatsApp voice notes into draft quotes or invoices you can review and send. Built for UK trades and service teams who already run jobs on WhatsApp.
Is it free during the beta?
Yes. The beta is free while we invite participants in stages. If we introduce pricing later, we'll notify you in advance.
How fast will I get a draft back?
Usually within a short time after your voice note, depending on workload and message clarity. You'll see a "processing" message while VanVox works on it.
